How to Choose a Pet Training Pad Manufacturer: A Buyer’s Guide

Pet training pads prepared for private-label manufacturing

Two quotations for pet training pads may look similar, with matching dimensions, branded packaging and competitive prices per piece. Those details alone do not establish whether the pads will perform consistently or whether the supplier can meet your delivery schedule.

For a pet-care brand, distributor, or importer, choosing a reliable manufacturer involves a detailed assessment of the terms and conditions of your quotation. Before placing an order, agree with the manufacturer on the required product specifications, quality checks and delivery schedule, including who will resolve any quality issues or delivery delays.

Before contacting a pet-pad manufacturer and placing a large order, review six critical areas to discuss: manufacturing identity, documentation, performance, minimum order quantity (MOQ), lead time, and sample approval. The following guide highlights the points to consider in each of these areas when communicating with pet-training-pad suppliers.

1. Know Who Will Manufacture Your Pet Pads

Before finalizing a quotation, it is vital to clarify the manufacturing arrangement, i.e., who will produce the pet training pads, who will inspect the goods, and who will be responsible for ensuring that the manufacturing process meets your requirements.

A few questions to ask include:

  • What is the company’s official name, and what is its address?
  • What does the company do at the manufacturing facility?
  • What is the relationship between the company you deal with and the manufacturer?
  • Who will be responsible for quality control and order fulfillment?

A video tour of the facility, a factory visit, or an independent inspection may be needed to establish manufacturing credentials. However, a tour may only give you a snapshot of the manufacturing process. Factories may also restrict filming to protect confidential information, maintain security or comply with customer agreements. If a tour is declined, ask the manufacturer to provide alternative ways of verifying the information or ask clarifying questions if something appears suspicious.

2. Check What Certifications and Reports Say

A certificate is a good starting point for discussing quality control, but it should not be the only point of reference. Ask the supplier to provide a copy of the certificate or the report to understand precisely what has been stated. Among the questions to ask are:

  • Which standard is the certificate or report against?
  • Which organization issues the certificate or report?
  • Which entity and site does the certificate or report cover?
  • Does the certificate or report apply to the product you intend to purchase?

Do not assume that a certificate for medical underpads also covers pet training pads. Clad Medical’s published BIS licence identifies Medical Textiles Underpad under IS 17786:2022. Buyers should check the scope of each certificate and request documentation relevant to the pet-pad specification and destination market. Further details are available on our quality and certification page.

The same applies when evaluating claims such as biodegradable, antibacterial, or odour-proof. Ask the supplier to provide supporting information for any special claims before using that information in your marketing materials.

3. Compare Finished-Pad Performance Alongside Product Specifications

The phrase “highly absorbent” is vague and should not be used as a basis for choosing one pet-pad supplier over another. Instead, request a written specification that covers the size, usable area, materials, and target weight of the finished pad. The specification should also state the performance criteria, including liquid-handling capacity, absorption rate, and retention. Ask the supplier to indicate how they will assess these performance indicators.

Among the clarifications to make are:

  • Which test liquid and method were used to determine absorption capacity?
  • What size and specification was tested?
  • Does the result indicate absorption capacity, speed, or retention?
  • How will surface wetness, backing integrity, and edge leakage be evaluated?
  • What acceptance criteria apply?

Absorption capacity indicates how much liquid a pad absorbs under specified test conditions. It is one measure of performance and should be assessed alongside absorption speed, retention, surface wetness and leakage. Compare results for equivalent pad specifications using the same test liquid, method, timing and conditions.

Understanding Weight, GSM, and Core Ratio

Finished-pad weight is measured in grams per piece. GSM means grams per square metre and describes mass per unit area. Ask which material layer or finished construction the quoted GSM refers to. Pad weight, GSM and the SAP-to-fluff-pulp ratio are different measurements; none should be used alone to predict finished-pad performance.

The same applies to the ratio of SAP (super absorbent polymer) to fluff pulp. Although the combination of the two materials influences the overall performance of the pad, it is not sufficient to evaluate or compare the performance of competing products. Ask the supplier to provide adequate information to enable you to define the specification and control product variations. In some cases, manufacturers may withhold such information for commercial reasons. Therefore, a supplier’s inability to provide such information does not necessarily indicate inferior quality control.

4. Know What Determines the Minimum Order Quantity

Most manufacturers and suppliers set the MOQ based on the specification of the pet training pad, production capacity, print design and stock, and the MOQ of the printing supplier. Generally, the MOQ for a standard product in standard packaging is lower than that of a custom size with a custom print design.

Clarify the following aspects to understand the MOQ rationale:

  • Is the MOQ provided per size, specification, or design?
  • Does the supplier use the same MOQ for standard and customized products?
  • Is there an option to place a trial order?
  • Are any development, printing, or setup costs charged separately?

A reliable supplier should be able to explain the MOQ rationale instead of asking you to accept it at face value. If you need clarification on any terms, explain your concerns. For instance, if your quotation changes because of a supposed inability to meet the MOQ, ask what has changed in the terms or conditions of the quotation.

5. Know the Difference Between Production Time and Delivery Time

A supplier’s quotation may state that the delivery takes ten (10) days, but it does not say when the clock starts ticking. In other words, you need to agree on who will do what and when. The following points should be covered in your agreement or order confirmation:

  • Sample and specification approval
  • Packaging artwork approval
  • Order confirmation and payment terms
  • Production, inspection, and packing
  • Dispatch and transit time

For exports, you also need to clarify who will be responsible for logistics and the delivery terms used to quote you. This information helps you plan accordingly, especially when launching a new product. Remember that a factory’s dispatch time is different from a warehouse’s delivery time.

6. Ensure Consistency Between Approved Samples and Finished Goods

A sample provides an opportunity to assess the pad’s construction, dimensions, finish and performance before approving bulk production. However, a sample may be in a different size, core specification, or packaging. Ask the supplier to clarify whether the sample is a general sample or a specification sample based on your MOQ, design, and packaging.

You should also discuss sample charges, courier costs, and preparation time. Note that free samples are not necessarily an indication of a supplier’s reliability or competitive pricing. Always retain a copy of the approved sample reference, artwork, and specification and use them to check consistency with subsequent orders.

Review Traceability and Complaint Resolution Procedures

When approving a sample or specification, it is crucial to discuss traceability, i.e., how the supplier will track and record production batches and link them to other information, including inspection results and customer orders. Ask the supplier to explain how you can identify goods in case of a complaint.

Among the points to cover on complaint resolution are:

  • What information should be provided when a complaint is submitted?
  • Who investigates the complaint?
  • How will affected goods be identified?
  • What action will be taken if the supplied goods do not meet the agreed specifications?

Before production, agree on routine batch checks, acceptance criteria and the frequency of any independent laboratory testing. Confirm which inspection records and test reports will be available for review and how they relate to the supplied goods.

A Few Words Before Calling a Supplier

Before finalizing your selection, ensure that you understand the following:

Who will make the product

The manufacturer’s name, production location and responsibilities for quality control.

What you are buying

An agreed written specification that covers product performance

How performance will be assessed

Relevant test results, test methods and conditions, and agreed acceptance criteria.

What documentation applies

Applicable standards and certificates

What the quotation covers

Product and packaging costs, any additional charges, payment terms and delivery terms.

How the order will proceed

Confirmed MOQ, sample and artwork approvals, and an agreed production and delivery schedule.

How quality issues will be resolved

Traceability and complaint procedures

Be wary of suppliers who give you conflicting information, cannot identify the products covered by their certificates or reports, or refuse to document your specification or approval. Such issues may be an indication of underlying problems and should prompt you to conduct additional due diligence before placing an order. A persuasive sales presentation cannot replace a clear purchase agreement.
